FEINDEF 2027 Rebooking Terms and Conditions

1. Early Booking Discount

Applicants who submit this form during the days of the FEINDEF 2025 event and before September 30, 2025, and/or formalize the reservation through the corresponding contract before December 31, 2025, will receive a 5% discount on the official Fair rates for the selected participation modality.

2. Official FEINDEF 2027 Rates and Price Equality Guarantee

Once the Organization establishes the official rates for FEINDEF 2027, they will be communicated to applicants before the start of the final booth/space selection process, as described in the following sections. The Organization guarantees that prices for each participation modality will be the same across all halls and areas of the Fair.

3. Preferential Right of Selection

Applicants who submit this form will be contacted by the Organization in strict order of priority, based on the criteria detailed below, in order to exercise their preferential right to select a space/stand.

4. Right to Change Hall, Area, or Modality Selected on the Form

At the time of contact from the Organization to exercise this preferential right, if the space/stand offered is not satisfactory, the applicant may modify their original preferences (hall, area, or modality) and choose another available option from any modality in any area or hall, depending on space availability at that time.

5. Right to Withdraw

Submitting this form does not bind the applicant to anything. When contacted by the Organization to exercise their right of selection, applicants may choose to withdraw from participating in FEINDEF 2027 without incurring any penalty or cost.

6. Priority Order Criteria

Once the rebooking request period ends (September 30, 2025), the Organization will determine the order of priority for assigning space/stands among applicants who have duly submitted this form.

Priority will be determined by the exact date and time the form was submitted.

This criterion will apply unless the applicant is a sponsor of FEINDEF 2025 in any of the following categories: Global, Gold, Silver, or General, in that order. In case of ties within the same sponsorship category, priority will be given to the order of rebooking request submission—except for the highest category (Global), where the Organization will contact sponsors in advance to accommodate their needs.

7. Allocation of Spaces/Stands and Design of the Fair Layout

Based on the priority order and taking into account the preferences expressed by each applicant, the Organization will allocate spaces/stands within the areas used during the rebooking period. Once all requests have been placed on the map, the Organization will complete any remaining areas with other spaces/stands at its discretion to finalize the full Fair layout.

It is important to note that the layouts included in this form are preliminary and may be modified as planning progresses. Changes may occur due to fair sectorization, aesthetic balancing of the layout, or any other factors that, in the Organization’s judgment, improve the Fair.

Nonetheless, the Organization will make every effort to respect each applicant's preferences regarding location, dimensions, and booth characteristics within the selected area.

8. Confirmation Process for Spaces/Stands

Once the Fair Layout is finalized and before general space sales begin, the Organization will contact applicants by email, in strict priority order, to inform them of the assigned space/stand. At that time, the applicant may confirm the assigned space or choose another available option.

The Organization does not guarantee that the assigned location will exactly match the one requested on the form but will strive for the closest possible match.

If the applicant does not respond within seven calendar days from being contacted, it will be understood that they forfeit their preferential right to those next in line.

If an applicant later wishes to change their assigned space, they may do so by contacting the Organization and choosing from the spaces still available at that time.

9. Closing of Rebooking and Opening of General Sales

Once all applicants have been contacted and their placements confirmed in accordance with the established priority order, general space sales for the next edition will begin.

11. Form Download and Email Submission

Once the Fair concludes, this form will be available for download via the official website www.feindef.com. Forms may be submitted by sending them to the email address indicated above.

The date and time the email is received will be used to determine the applicant’s position in the priority order for space assignment.
